Subscription management, Stripe integration, trial periods, plan limits, and paywall behaviour.

Billing Overview

Billing in QuestLore is handled through Stripe, a secure third-party payment processor. The organisation owner manages the subscription from Organization → Billing.

Access to most platform features requires an active subscription. Some administrative pages — Billing and Members — remain accessible even without one, so owners can always manage their account.

Stripe Subscription

QuestLore subscriptions are powered by Stripe. Payment card details are entered and stored securely by Stripe — QuestLore never sees or stores your full card number or CVC.

After subscribing, QuestLore receives only a confirmation token from Stripe. Invoices and payment history are accessible from the Billing page and can also be viewed directly in the Stripe customer portal, linked from the same page.

Free Trial Period

New organisations may be eligible for a free trial period, which gives full access to all features without requiring a payment method upfront. The trial duration is shown on the Billing page when your trial is active.

When the trial expires, a subscription is required to continue using the platform. No charges are made during the trial period. If you choose not to subscribe, your data is preserved for a grace period before being removed.

Plan Feature Limits

Different subscription plans unlock different feature limits — for example, the maximum number of active quests, the number of members, or access to advanced features such as bulk imports and extended reporting.

The specific limits of each plan are shown on the Pricing page. Current plan limits are always visible on the Billing page under your active subscription details.

If you reach a plan limit, an in-app notice will inform you when you try to exceed it. Upgrading your plan instantly unlocks the higher limits.

Paywall Behaviour

If an organisation's subscription lapses — for example, due to a failed payment or cancellation — access to most platform features is automatically restricted:

  • Employees and managers cannot access quests, goals, the dashboard, or the rewards catalogue.
  • Owners retain access to the Billing and Members pages so they can resolve the issue without being locked out entirely.
  • All data is preserved during the lapse; nothing is deleted.

As soon as a valid subscription is reinstated, access is restored immediately for all members.

Managing Your Subscription

Owners can upgrade, downgrade, or cancel their subscription from Organization → Billing at any time:

  • Upgrades take effect immediately and are prorated for the remainder of the billing period.
  • Downgrades and cancellations take effect at the end of the current billing period. The current plan remains active until then.
  • Payment details can be updated via the Stripe customer portal link on the Billing page.
  • Past invoices can be downloaded from the Billing History page or directly from the Stripe portal.
